Put Your Email Signature to Work for You!

How many times have you searched in vain for a phone number or email address of a person you’ve previously contacted?  Maybe I’m the only one who does this, but I usually search my email if I know I’ve contacted a particular person in the past…I’ve found that it’s a good way to find an email address, a phone number, and a fax number from people’s email signatures.  However, I am always shocked to discover how many professional people don’t include such information within their email signatures.

Believe it or not, customers look at your email signature (well, at least I do).  Typically, an email signature includes the professional’s name, job title, company, phone number, fax number, email address, and sometimes the physical address of the company.  I have also seen many people include website links to briefly advertise the services they provide, whether to the business site or to social networking sites, which is an even better idea!  The more information you include in your email signature, the more likely it is that your customers and contacts will be able to get a hold of you again in the future!

Why make it more difficult for people to reach you by ignoring the possibilities of your email signature?  Include any and all relevant information and encourage contacts to keep in touch with you!  Of course, you must use a bit of discretion when it comes to signatures – no one wants to read 20 lines of text.  But you can include more than just your name, title, and company name without bothering anyone…and in fact, you’ll be making your customers’ lives easier if they forgot to put your phone number into their Rolodexes!

P.S. Also, beware of using crazy fonts in your email signature.  Many are difficult to read, and if your customers are confused by what you’re trying to say then they won’t be able to contact you again even if they wanted to!
